The 2019 Public Works operating budget includes $425,000 for the purchase of sodium chloride used in the Village's Snow & Ice Control Program. Historically, the Village has pursued two vendors by preparing an internal bid and participating in the State's Joint Purchasing Program. Staff has found that during times of salt shortages, having contracts with multiple vendors offers security for both price fluctuations and availability.
On June 3rd, 2019, the Village Board approved a contract for delivery of 1,000 tons in 2019, and an option for 1,000 tons in 2020. Staff is seeking approval for the additional 1,000 tons this year, as the dome can accommodate the additional salt. Public Works has a goal to fill the dome every year prior to the winter season. The 2019 budget can accommodate the additional 1,000 tons at $78.45/ton, as originally approved.
Funds for this purchase are available in Account No. 101-7101-531.31-90.
RECOMMENDATION
It is recommended that the Village Board authorize the purchase of an additional 1,000 tons of road salt from Detroit Salt of Detroit, Michigan, at a not-to-exceed amount of $78,450 and authorize staff to execute the necessary documents.
