On October 17, 2016, the Village awarded a three-year contract for HVAC Preventative Maintenance on the Village’s commercial-sized HVAC systems to Hayes Mechanical of Chicago, Illinois.

This contract also provides established, bid hourly rates for future repairs.  The contract is non-exclusive, and the Village is able to seek multiple quotes on larger repairs.

The term of the extension would begin in January 2020 and conclude in December 2020. Staff has been pleased with Hayes Mechanical’s quality of work and customer service, and staff recommends the one-year extension of this contract.

Staff recommends a one-year contract extension at a proposed price of $43,321, which is a 1.15% increase over the last year’s contract pricing.  For reference, this increase is equal to one-half of the percentage in the Bureau of Labor Statistics 2019 Consumer Price Index (CPI) for the Chicagoland area, per contract terms.

RECOMMENDATION

It is recommended that the Village Board award a one-year contract extension for HVAC Preventative Maintenance to Hayes Mechanical of Chicago, Illinois per the original contract terms and pricing terms stated above, and authorize Staff to execute the necessary documents.
