Currently, the Village utilizes three contracts for custodial services for the municipal buildings.  The 2020 budget - Building Maintenance Account has $236,000 allocated for Custodial Services for all municipal buildings. "Group A" covers the cleaning needs of the Village Hall, the Police Department, and the Senior Center buildings. 

The “Group A” cleaning contract covers services after normal business hours at Village Hall and the Senior Center five days a week, and seven days a week for the Police Center. On April 4th, 2016, the Village Board awarded a three-year contract to Crystal Maintenance Services of Mount Prospect, IL for the above services.

Staff has been satisfied with the custodial services provided by Crystal Maintenance Services.  Therefore, Staff is recommending a one-year contract extension, per the original contract terms. This would be the first of three potential one-year contract extensions, and this extension would begin April 2020. Crystal Maintenance Services has offered to extend the contract for 12 months.

Funds are available for these services in Account No. 101-7101-531.21-11.   Estimated expenses for this program are $115,000.00

RECOMMENDATION

It is recommended that the Village Board award a one-year contract extension for Municipal Buildings Custodial Services - Group A - Contract Extension 2020 to Crystal Maintenance Services of Mount Prospect, IL, up to the budgeted amount, and authorize staff to execute the necessary documents.
