The 2020 Operating  Budget includes $219,900 for contractual landscape maintenance.  The High Profile Landscape Maintenance contract covers the complete landscaping maintenance of 36 locations throughout the community. These areas are highly visible to the public and are maintained to our highest quality standard.  The Village is responsible for the maintenance of these areas, including turf maintenance, flower installation/maintenance, mowing, fertilizing, edging, aerating, sprinkler maintenance and general litter removal. 

A bid opening was held on March 11, 2020. The following four bids were opened and publicly read aloud:

The bid is for weekly maintenance and Staff anticipates utilizing 39 cycles during the year. The contract is for three years with three possible one-year extensions. The annual price will increase by 3% per year for the first three years, and has an optional  yearly price escalator of no more than half of the Consumer Price Index.

Apex Landscaping of Hawthorn Woods, IL was the low bidder. Staff has worked with them in the past and is satisfied with their work. Staff is recommending that the Village award the contract to Apex Landscaping as the lowest responsible bidder.

Funds for these services are available in Account No. 101-7101-531.21-55.

RECOMMENDATION

 It is recommended that the Village Board award the three-year contract for High Profile Landscaping Maintenance Services to Apex Landscaping of Hawthorn Woods, Illinois, for the not-to-exceed, annual bid price of $47,985, and authorize Staff to execute the necessary documents.
