The Public Works Engineering Division contracts for material testing services for street, sidewalk, and maintenance projects.  This includes material inspections, coring operations and laboratory tests, along with many other services.  Request for proposals were solicited and proposals were received for material testing services from five consultants in March 2017.  Consideration of the proposals was based on costs and qualifications, and a three-year contract was awarded to Construction and Geotechnical Material Testing, Inc. (CGMT) of Elk Grove Village, IL. 

The current contract will expire on April 30, 2020.  Staff is proposing the term of the contract extension would begin May 1, 2020 and conclude on December 31, 2020, to align with the current calendar year budget. Staff has been pleased with CGMT’s quality of work, responsiveness and customer service.  CGMT has indicated that there would be no increase in fees or unit rates from the current contract. Funding for this contract is included in the budget for the 2020 Resurfacing Program. 

Staff is recommending a contract extension in the amount of $100,000 for the 2020 Material Testing Services before the current contract expires. 

Funds are available in Account No. 401-5001-571.50-30 (ST9008).

RECOMMENDATION

It is recommended that the Village Board award a contract extension from May 1, 2020 through December 31, 2020 for Material Testing Services to CGMT Inc. of Elk Grove Village, Illinois in an  amount not-to-exceed $100,000 and authorize staff to execute the necessary documents.
