Item: Storm Water Televising, Mapping & Condition Assessment - Contract Extension 2021
Department: Public Works

On December 21st, 2015, the Village awarded a contract to Red Zone of Pittsburgh Pennsylvania, for the televising, reporting, GIS integration and condition assessment of our large diameter storm water collection system.  The contract is set to expire in December 2020. This type of contract is an important tool for Public Works to maintain and schedule Capital Improvements to the existing storm water collection system.

This is the last of three possible extensions. The contractor has offered to extend the contract for 12 months without an increase in price. The term of the extension would begin in January 2021 and conclude in December 2021.

If this contract is rebid, the chances for unit price increases are high, as these rates are primarily labor based on hourly rates, which have increased over the last five years. While the total costs are dependent on the actual quantities used, Public Works expenditures will not exceed the budgeted amount. The bidder has been determined to be responsible and the contract extension meets specifications.

Funds for these services are available in Account Number 426-7101-571-50.25 (SW 1520) (Storm Water Control Fund) $500,000.

RECOMMENDATION

It is recommended that the Village Board award a one-year contract extension to Red Zone Robotics of Pittsburgh, Pennsylvania, at their bid unit prices, up to the budgeted amount, and authorize Staff to execute the necessary documents.
