Currently, the Village utilizes three contracts for custodial services for the municipal buildings. The 2021 approved Building Maintenance account has $236,000 allocated for custodial services for all municipal buildings. Two of the contracts are designed for the different custodial needs of the buildings, based on location and use.  The floor maintenance contract covers the monthly buffing and annual waxing of vinyl floors, and annual carpet cleaning at all municipal buildings.  

On April 4th, 2016, the Village Board awarded a three-year floor maintenance contract to Alpha Building Maintenance for the above services.

Per Village policy, successful contractors can be permitted up to three one-year extensions with Village Board approval. 

Staff has been satisfied with the floor cleaning services provided by Alpha Building Maintenance. Therefore, staff is recommending a one-year contract extension, per the original contract terms. This would be the second of three possible contract extensions, and this extension would begin April 2021. Alpha Building Maintenance has offered to extend the contract for 12 months. 

Funding for these services is available in Account No. 101-7101-531.21-11. The estimated expense for floor maintenance for 2021 is $43,000.

RECOMMENDATION

It is recommended that the Village Board award a one-year contract extension for Municipal Buildings Floor Maintenance to Alpha Building Maintenance of Bridgeview, Illinois, up to the budgeted amount, and authorize staff to execute the necessary documents.
