Currently, the Village utilizes three contracts for custodial services for the municipal buildings. The 2021 approved budget Building Maintenance account has $236,000 allocated for custodial services for all municipal buildings.  Two of the contracts are designed for the different custodial needs of the buildings, based on location and use. The "Group A" contract covers the cleaning needs of Village Hall, the Police Center, and the Senior Center.

The “Group A” cleaning contract covers services after normal business hours at Village Hall and the Senior Center five days a week, and seven days a week for the Police Center. On April 4th, 2016, the Village Board awarded a three-year contract to Crystal Maintenance Services of Mount Prospect, IL for the above services.

Per Village policy, successful contractors can be permitted up to three one-year extensions with Village Board approval.  

Staff has been satisfied with the custodial services provided by Crystal Maintenance Services. Staff is recommending a one-year contract extension, per the original contract terms. This would be the second of three potential one-year contract extensions, and this extension would begin April 2021. Crystal Maintenance Services has offered to extend the contract for 12 months. 

Funds are available for these services in Account No. 101-7101-531.21-11.  Estimated expenses for these services are $120,300.

RECOMMENDATION

It is recommended that the Village Board award a one-year contract extension for Municipal Buildings Custodial Services - Group A to Crystal Maintenance Services of Mount Prospect, Illinois, up to the budgeted amount, and authorize staff to execute the necessary documents.
