Currently, the Village utilizes three contracts for custodial services for the municipal buildings. The 2021 approved budget Building Maintenance account has $236,000 allocated for custodial services for all municipal buildings. Two of the contracts are designed for the different custodial needs of the buildings, based on location and use. The "Group B" contract covers the cleaning needs of the Public Works Administration Building, Fire Department Headquarters, two Train Stations, and the Historical Offices.
The “Group B” cleaning contract covers services after hours for Public Works Administration Building and the Fire Department Headquarters five days a week, and three days a week for the Historical offices. Due to the high use of the train stations, twice-a-day services for five days a week are necessary. On April 4th, 2016, the Village Board awarded a three-year contract to Complete Cleaning of Wood Dale, IL for the above services.
Per Village policy, successful contractors can be permitted up to three one-year extensions with Village Board approval.
Staff has been satisfied with the custodial services provided by Complete Cleaning. Staff is recommending a one-year contract extension, per the original contract terms. This would be the second of three possible extensions, and this extension would begin April 2021. Complete Cleaning has offered to extend the contract for 12 months.
Funding for these services is available in Account No. 101-7101-531.21-11. The estimated expenses for these services for 2021 are $63,000.
RECOMMENDATION
It is recommended that the Village Board award a one-year contract extension for Municipal Buildings Custodial Services - Group B to Complete Cleaning of Wood Dale, Illinois, up to the budgeted amount, and authorize staff to execute the necessary documents.
