The 2021 annual operating budget includes $250,000 for the routine removal of parkway trees due to storms, hazardous conditions, or natural decline. Yearly, Public Works contractually removes approximately 450 parkway trees.
The Public Works Department has an existing contract with Clean Cut Tree Services of Grayslake, IL for parkway tree removals and emergency tree work. The current three-year contract expires on March 12, 2021.
Per Village policy, successful contractors can be permitted up to three one-year contract extensions, with Village Board approval. Clean Cut has agreed to the one-year contract extension with an 1.47% price increase. The contract also stipulates an hourly emergency rate for tree removal assistance during natural disasters. These rates are also proposed to have the same 1.47% increase.
Clean Cut Tree Services has performed well, and staff recommends extending their contract. This would be the first of three possible contract extensions, and the extension would begin in April 2021.
Funds for these services are available in Account No. 101-7101-531.21-55.
RECOMMENDATION
It is recommended that the Village Board award a one-year contract extension for parkway tree removal & emergency tree work to Clean Cut Tree Services of Grayslake, Illinois, at unit bid prices, up to the budgeted amount, and authorize staff to execute the necessary documents.
