On October 17, 2016, the Village awarded a three-year contract for HVAC Preventative Maintenance on the Village’s commercial-sized HVAC systems to Hayes Mechanical of Chicago, Illinois.  
 
Per Village Policy, contracts can be extended with Board approval, up to the original terms of the contract.  This would be the third of three possible extensions.

This contract also provides established, bid hourly rates for future repairs. The contract is non-exclusive, and the Village is able to seek multiple quotes on larger repairs.  Hayes is requesting a 1.3% increase in all pay items.  This increase is allowed per contract terms and is equal to half of the Consumer Price Index (CPI).

The term of the extension would conclude in December 2022. Staff has been pleased with Hayes Mechanical’s quality of work and customer service, and staff recommends the one-year extension of this contract with the requested price increase.

Funding for these services is available in Account No. 101-7101-531.21-02 with a FY2022 budget amount of $296,800.
 
RECOMMENDATION

It is recommended that the Village Board award a one-year contract extension to Hayes Mechanical of Chicago, Illinois, for HVAC Preventative Maintenance, up to the budgeted amount, and authorize staff to execute the necessary documents.
