Since 2020, Public Works & Engineering has successfully utilized a consulting firm to assist with seeking grants and preparing grant applications that apply to the various Capital Improvement Projects. These efforts have been fruitful in procuring grants and proven to be an excellent return on investment.

Services are provided on an on-call basis, with past contracts limited to $20,000 per year. The 2024 contract for on-call services with Baxter & Woodman, Inc. was approved administratively on February 1, 2024 at the not-to-exceed amount of $20,000. Due to the number of grants available that are applicable to current and future capital projects, this limit has been met with additional services still needed. The attached Amendment #1 from Baxter & Woodman, Inc. would increase the limit by $10,000 to a new not to exceed limit of $30,000.

Funding is available in the current budget Capital Projects Fund Account Number 401-7101-550300 (ST9008).

RECOMMENDATION

It is recommended that the Village Board approve Amendment #1 in the amount of $10,000 to Baxter & Woodman, Inc. of Chicago, Illinois, for Grant Assistance Consulting Services for an amended not to exceed amount of $30,000 and authorize staff to execute the necessary documents.
