BACKGROUND

The FY16 Public Works Operating Budget includes $200,000 for the routine removal of parkway trees due to storms, hazardous conditions, or natural decline.  The Village currently has a three-year contract with Powell Tree Care, Inc. of Elk Grove Village, IL  that was awarded as part of a public bid held in June of 2013.  Per Village purchasing policy, successful contracts can be extended up to original term lengths with mutual consent and Village Board approval. 

Public Works is proposing to extend the contract for 18 months in order to better align the contract with the new fiscal budget.  Powell's performance has been satisfactory and the contractor has offered to extend the contract without a price increase.  The proposed term of the extension would end December 2017.

RECOMMENDATION

It is recommended that the Village Board award a contract extension per original bid award to Powell Tree Care, Inc. of Elk Grove Village, Illinois in an annual amount not-to-exceed $200,000 and authorize Staff to execute the necessary documents.
