The 2017 budget provides for the purchase of six network switches. The existing access network switches located at Public Works were purchased in 2005 and have reached manufacturers “end-of-life” expectancy. Replacement is needed as it will become impossible to renew maintenance and warranty services through the manufacturer on this hardware equipment after that time. The maintenance contracts are crucial to ensure minimal downtime in the event of equipment failure. These switches connect computers and network peripherals to the network within Public Works.

Twelve bid packets were sent out. One bid came in late and was not accepted. Another bid, from Converged Digital Networks, did not include prices so it should be rejected. Two complete bids were received and we are confident the pricing was very competitive.
RECOMMENDATION
It is recommended that the Village Board reject the bid from Converged Digital Networks as being incomplete and authorize the purchase of six Cisco switches and accessories for a cost of $28,290.29 from Zones Inc., Auburn, WA. References were checked and Zones Inc. has been determined to be a responsible vendor and the bid met specifications.
