The Public Works Department uses contractual services for Parkway Tree Trimming. Routine tree trimming is a vital component of a well maintained urban forest, and is especially important to the health and structure of the 9,000 newly planted ash replacement trees. This contract is for the annual trimming of an estimated 9,000 parkway trees at various unit prices.

Per purchasing policy, contracts can be extended up to the original contact length, with Board approval.  The original three-year contract ended in October 2016, and was extended to December 31, 2017.

Staff has been pleased with the contractor's quality of work and customer service.  Therefore, Staff is requesting approval for  a second and final contract extension  through December 31, 2018.  The contractor has offered to extend the contract for one-year without an increase in price. The term of their extension would begin in January 2018 and conclude in December 2018. 

RECOMMENDATION

It is recommended that the Village Board award a contract extension to the original awarded bidder, Robert W. Hendricksen Company, of Wheeling, Illinois, at bid unit pricing, up to budget allotment, and authorize the execution of the necessary documents.
