The Microsoft Enterprise Agreement signed in March 2012 is subject to renewal in March 2018.
The Village uses Microsoft desktop, server and office automation applications such as Windows, Word, Excel, PowerPoint and Access extensively throughout the organization. These applications increase the efficiency of staff and provide standardization of computer deployments. The Enterprise Agreement preserves the right to deploy new versions of licensed products as they are released by Microsoft. In addition, the Agreement enables the Village to host email services in the Microsoft Government Cloud environment that provides premier disaster recovery capabilities.
The initial Enterprise Agreement signed in 2012 allowed the Village to purchase and install the latest version of Microsoft software products at that time. Under this year’s renewal agreement, the Village will be entitled to continue with software upgrades, maintenance and support for all Microsoft software during the term of the contract.
CDWG holds the Illinois State Master Contract as the Microsoft large account reseller and thereby offers the lowest cost for Microsoft products.

RECOMMENDATION
It is recommended that the Village Board waive competitive bidding requirements and authorize the Village to enter into a three year agreement with CDWG of Vernon Hills, IL for $202,474.80, to be paid annually at the amount of $67,491.60. Funds for this project are budgeted annually.
